Job Description

The NCAA Certification & Eligibility Coordinator supports the Offices of Admissions and Strategic Enrollment Management and the Athletics Eligibility & Compliance Specialist in the review, processing, and documentation of academic eligibility for student-athletes. This position plays a key operational role in evaluating academic records, coordinating certification workflows, and ensuring accurate and timely data management related to NCAA continuing eligibility and transfer assessments.


The coordinator collaborates closely with the Athletics Eligibility & Compliance Specialist, Registrar staff, Admissions, Academic Services, and Athletics Compliance to ensure student-athlete academic information is accurate, complete, and compliant with NCAA and institutional standards.

Responsibilities

1. NCAA Continuing Eligibility Oversight
• Assist in monitoring and documenting academic eligibility for all student-athletes.
• Conduct preliminary and term-by-term reviews of progress-toward degree (PTD) in coordination with the Athletics Eligibility and Compliance Specialist.
• Prepare certification materials and ensure appropriate documentation is filed for internal audits and NCAA requirements.
• Support communication to academic units regarding needed updates, degree applicability, and course information.


2. Transfer Eligibility & Evaluation
• Collect, review, and organize academic records for incoming and outgoing transfer student-athletes.
• Assist with initial transfer credit assessments, including review of NCAA two-year and four-year transfer legislation.


3. Data Management & Information Accuracy
• Maintain accurate records in institutional and NCAA compliance platforms (e.g., Compliance Assistant, LSDBi, ARMS, Student Coding).
• Support data entry and maintenance in NCAA and athletic compliance platforms.
• Generate regular reports and summaries used for certification preparation and compliance review.


4. Compliance Education & Legislative Interpretation
• Help prepare educational materials and resources related to academic certification and transfer requirements under the direction of the Athletics Eligibility and Compliance     Specialist.
• Stay informed on key updates to NCAA academic legislation and operational procedures.


5. Strategic Collaboration
• Partner with academic support services, compliance staff, athletics leadership, and key campus stakeholders to promote student-athlete success and regulatory adherence.
• Contribute to a culture of accountability, academic integrity, and continuous improvement.


6. Performs other duties as assigned.

Qualifications

• Bachelor’s degree
• One-three years’ experience in one of more of the following areas: NCAA Compliance, Student-Athlete Academic Service Areas, Advising, Registrar’s Office or Admissions
• Familiarity with NCAA academic eligibility concepts, progress-toward-degree requirements, and transfer rules.

Degree Equivalency Clause: Four years of direct experience for a bachelor’s degree.
• Senate Bill 1310- The Florida Senate (https://www.flsenate.gov/Session/Bill/2023/1310) is conditional upon meeting all employment eligibility requirements in the U.S.
• SB 1310: Substitution of Work Experience for Postsecondary Education Requirements
• A public employer may include a postsecondary degree as a baseline requirement only as an alternative to the number of years of direct experience required, not to exceed:
• (a) Two years of direct experience for an associate degree;
• (b) Four years of direct experience for a bachelor’s degree;
• (c) Six years of direct experience for a master’s degree;
• (d) Seven years of direct experience for a professional degree; or
• (e) Nine years of direct experience for a doctoral degree
• Related work experience may not substitute for any required licensure, certification, or registration required for the position of employment as established by the public employer and indicated in the advertised description of the position of employment.
• Minimum Qualifications that require a high school diploma are exempt from SB 1310.

Preferred education/experience:
• Master’s degree in Higher Education, Student Affairs, Sport Administration or related field.
• Prior experience conducting transfer credit evaluations and degree audits.
• Experience collaborating with multiple administrative unites (Registrar, Admissions, Academic Services, Compliance).
• Demonstrated ability to interpret policies, apply rules, and communicate complete academic information clearly.
