Position Summary:
The Assistant Director of Rock Chalk Park will support the Director of Rock Chalk Park, Director of Facilities & Events, and Assistant Director of Special Events. The Assistant Director of Rock Chalk Park will be responsible for the efficient management of facilities and the coordination of events. This position will also assist with facilities keys and remote access, and assist with special events such as Outdoor Track & Field, Softball, Soccer, Sporting Kansas City II, KSHSAA Softball, World Cup 2026, Relay for Life, and ROTC Training, to name a few.
Responsibilities of all Positions at Kansas Athletics:
Adhere to University, Big 12 Conference, Kansas Athletics, and NCAA policies and procedures;
Maintain knowledge of departmental activities, sports schedules, and procedures;
Foster cooperative working relationships with fellow staff members within the Department;
Support the athletics department goals and philosophies as described by the Director of Athletics and work to achieve and uphold the department’s mission statement and core values;
Maintain a positive attitude toward performing job duties and in working with other staff members;
Exhibit professional decorum at all times while representing Kansas Athletics, including routine events and meetings that occur outside of the office and on the road;
Maintain the confidentiality of all information obtained while an employee of Kansas Athletics including all private, confidential, or sensitive information and ensuring compliance with FERPA, HIPAA, and other applicable regulations.
Duties and Responsibilities of the Position:
Oversee the daily facility and maintenance operations for the Jayhawk Club and Jayhawk Tennis Center. Assist the Director of Rock Chalk Park in overseeing the daily facility operations and maintenance operations for soccer, softball and track and field;
Ensure facilities are clean, safe, and well-maintained, and coordinate with staff to address repair and upkeep needs;
Work closely with other departments, such as sport specific staff, marketing and fan engagement, equipment services, and Campus safety to ensure successful events. This may include collaborating with coaches, athletic directors, and other Campus affiliates to ensure even requirements are met;
Serve as the primary point of contact for facilities related to the Jayhawk Club and Jayhawk Tennis Center. Address and resolve any issues or concerns promptly and professionally;
Assist in directing external contractors and 3rd party vendors that perform mechanical, electrical, plumbing preventative maintenance and landscape services to Rock Chalk Park, Jayhawk Tennis Center and KU Golf Facility;
Lead event management for Tennis and Golf. Assist event management for Softball, Soccer, Outdoor Track & Field and outside events including but not limited to: Sporting Kansas City II, 6A State Softball, Relay for Life and professional soccer/softball games etc.;
Assist in management of all Rock Chalk Park and the Jayhawk Club access control (Max Cloud Pro), security systems and keys;
Assist maintenance and grounds staff with maintenance when needed, including but not limited to preparation of softball/soccer field, removal of softball tarp, soccer field growth tarps, snow/ice removal, and drying of tennis courts;
Assist with coordination and oversee preparation of facilities for special events hosted in Kansas Athletics facilities, including but not limited to Jayhawk Hospitality and KAI sponsored events, recruiting dinners, etc.;
Assist with facility maintenance walk-throughs and scheduling needed repairs for primary facilities of the Jayhawk Club, Jayhawk Tennis Center and secondary facilities of Rock Chalk Park;
Responsible for all facility pre-event check-lists and event planning, setup and teardown for respective; lights, scoreboards, sound, tents, tables, chairs, portables etc.;
Perform in-game responsibilities including crowd control, troubleshooting, assisting with maintaining a safe environment for players and spectators, escort and protect visiting teams, officials, and home teams;
Create, laminate, and install signage related to events;
Perform other duties as assigned by the Director of Athletics or their designee.
Qualifications Required:
Bachelor’s degree from an accredited college or university;
Minimum of 2 years of experience in relevant intercollegiate or municipal athletics setting, or equivalent combination of education and relevant experience;
Demonstrated proficiency using the Microsoft Office suite (Excel, Word, etc.);
Demonstrated excellent verbal and written communication skills;
Ability to work well both independently and in collaboration with staff, and external community department groups, as a team member;
Demonstrated ability to work effectively under multiple, strict deadlines in a fast-paced office environment with the capacity to adapt quickly to major and minor changes;
Demonstrated excellent organization skills with strong attention to detail and time management;
Ability and willingness to work an irregular schedule, including evenings, weekends and holidays.
Preferred:
Master’s degree in related field;
Previous Division I intercollegiate athletic experience in facilities or events.
