Assistant Director, Facilities, Events, & Operations

Responsibilities include, but not limited to:

Oversees event management for assigned sports, serving as sport liaison for assigned sport coaches and their facilities / events (practices, games, other), including daily oversight of special projects as assigned. Engaged in the set-up, take down and logistics preparation for home athletic events.

Serves as game administrator for assigned Athletics sporting events, requiring knowledge of Athletics, University, Conference and NCAA rules and regulations regarding Crowd Control, Security and Emergency Management.  Includes the management / coordination / scheduling of event staff, guest services / security, officials, parking, visiting team hospitality, internal department communication, credentials, creation of game notes, and day of game/event timelines as appropriate.

Manages facility operations and coordinates the facilities set-up / breakdown / logistics preparation for athletic events, meetings, and special events, as well as ongoing responsibility for the performance of duties necessary to maintain assigned facilities.  Includes facilities operations / maintenance which may entail manual labor and familiarity with different tools to perform various basic repairs and maintenance.

Serves as a liaison with University Facilities and Physical Plant regarding athletics facilities maintenance to ensure the timely completion of projects.  Processes and tracks athletics facility requests / purchase orders with Physical Plant and related paperwork according to established departmental policies and procedures.

Engaged with the management of security and policing of all athletics facilities.  Includes coordination of department’s facility access system and key inventory.  Coordinates with UCF Physical Plant in the production of keys as appropriate.

Contributes to the formulation, implementation, and monitor of operating budgets relative to athletic facilities as well as assigned sports / events.   Monitors purchase orders to ensures proper funding is in place to accomplish necessary maintenance, and ensures that assigned projects related to area of operation are coordinated within budget parameters.

Serves as a primary contact with Conference and NCAA in the bidding process to host post-season events (for assigned sports).  Collaborates with sport administrator, coaching staff and internal departments in the review and submittal of necessary documentation to appropriate governing bodies.

Actively engaged in the recruitment, hiring, scheduling, management and evaluation of part-time staff and third party support for day-to-day operations and event management.

Actively engaged in securing facility rentals with third party vendors.  Represents Athletics with potential third parties in the contracting, scheduling, setup, management and breakdown of outside events being hosted within athletics’ facilities.

Other duties as assigned.

Minimum qualifications:

  • Master's degree in an appropriate area of specialization; or

  • Bachelor's degree in an appropriate area of specialization and two (2) years of appropriate experience.

Preferred qualifications:

  • Proficiency in both MS Office and EMS scheduling software

  • Experience managing budgets and events at the intercollegiate athletics level or higher.

  • Strong interpersonal and organizational skills

Due to the nature/scope of Athletics and Athletics events, position requires attendance at scheduled home games / matches, which may require work during evenings, weekends, and holidays, as well as the ability to stand / walk for extended periods of time.
