Assistant Director of Athletic Events & Rentals

About Position:

With a goal of maximizing revenue generation through the use of athletic facilities, this position is responsible for managing all aspects of athletic facility rental from marketing of venues to scheduling groups, executing contracts, and overseeing logistics leading up to and the day of events. In addition, this position will assist with other athletic facilities operations functions including scheduling, facility conversion, and event oversight as assigned.

Must be available to work nights, weekends, and holidays as team schedule requires

Requirements

  • Bachelor’s degree

  • One year of related experience

Skills

  • Must be able to correspond professionally both in writing and orally

  • Must be familiar with MS Office Suite

Essential Functions

  • Reports to the Director of Facilities and Events

  • Responsible for advertising and marketing all athletic department facilities to solicit external rental events.

  • Manage facility scheduling and calendars for special events in all athletic department facilities.

  • Provides assistance to other departments for internal events, including but not limited to set-up, break-down, and logistics.

  • Maintain event schedules, coordinate the event planning, contracting, and approval process, and administer facility and event management policies for all outside rentals.

  • Supervise and/or assign event staff working rental events to ensure proper management of events.

  • Ensures relevant facilities are in peak condition prior to hosting events.

  • Corresponds with campus partners including, but not limited to: Parking, Custodial, Facilities, Engineering, and Planning (FE&P), Rice University Police Department (RUPD), and Rice EMS (REMS) to ensure all staffing needs are met for events. 

  • Reconcile financials of events to ensure vendors are paid and payments due Rice are collected in a timely manner.

  • Serves as the event lead for assigned sports and assists with departmental responsibilities related to facility and event management.

  • Other duties as assigned.
