Reporting to the Director of Athletics, the Athletic Facilities and Game Day Operations Manager is responsible for overseeing the operation of all Haverford College’s athletic facilities, which includes maintenance, scheduling, and collaborating with the Office of Auxiliary Services to ensure a smooth transition for rentals and summer usage. The Operations Manager also executes all aspects of game day management, which includes hiring and supervising student workers, communicating with visiting teams and officials prior to and on game day, and addressing any crowd control issues. The Operations Manager is also responsible for ensuring compliance with NCAA, Conference, and College rules.
Primary Responsibilities
Liaise with college and athletic administrators, security, grounds, and facilities management staff in the preparation of facilities for intercollegiate contests and practices, club sport and intramural contests/practices, and physical education activities
Implement and enforce departmental policies regarding hours of operation and individual access
Interact in a timely and professional manner with all constituents requesting use of the athletic facilities
Schedule and manage all intercollegiate practices, competitions, and clinics
Manage non-Haverford rental approvals around varsity and non-varsity events and schedules in collaboration with the Auxiliary Services Department
Prepare and set up all athletic facilities for competition; coordinate with housekeeping for event-specific needs
Approve club/intramural, physical education, student activities, other College related events, and non-Haverford events in the EMS scheduling system and distribute a schedule of those activities to other departments (physical plant, etc.) as requested
Serve as Event Supervisor for all home intercollegiate contests (may request alternative supervision staff on days that conflict with other responsibilities)
Assist in planning the logistics for conference and NCAA championships held on campus
Manage all aspects of home events including, but not limited to, professional and student staffing, spectators, setups, breakdowns, scorebook keepers, scoreboard, and shot clock operators
Hire, train, and assign student workers for game day management
Manage all laundry operations for practice and competition items during traditional and non-traditional seasons for varsity athletes, including the maintenance of laundry machinery and ordering of laundry products
Hire, train, and assign student workers for laundry operations; participate in completing laundry operations, as needed
Assist the Auxiliary Service office with enforcing and maintaining contracts and relationships for all non-Haverford groups using the athletic facilities
Operate within a budget that covers all operational costs of the athletic facilities
Assign and manage locker rooms for all varsity teams; coordinate locker rooms for officials, visiting teams, and staff/faculty
Facilitate athletic storage spaces for Varsity Teams, (Club Sports, Intramurals, and Physical Education Classes as requested)
Attend monthly College Administrative Professional Staff meetings, athletic staff meetings as scheduled, weekly athletic logistics meetings, and other special college meetings as announced
Represent Haverford at all times in a professional manner
Other Duties as assigned: Such assignments will be made by and discussed with the Director of Athletics
Line of Report: The Athletic Facilities and Game Day Operations Manager reports to the Director of Athletics
Minimum Qualifications
Bachelor’s Degree
3 years of College facilities/game day management experience
Professional Competencies
Demonstrated ability to oversee the daily operations of facilities
Excellent interpersonal skills, with the ability interact in a sensitive, courteous, and understanding way with members of a diverse academic community, including students, faculty, staff, and the general public
Effective oral and written communication skills
Strong organizational skills Ability to manage multiple projects at once
Preferred Qualifications
Master’s degree
Priority will be given to candidates who currently hold the First Aid, CPR and AED certifications; should the final candidate not currently hold those certifications, they will be provided an opportunity to obtain them in the first 30 days of employment
