Associate Director of Athletics - Budget & Planning
Position Summary:
The Associate Director of Athletics for Budget and Planning serves as a senior member of the athletic administrative team, coordinating and overseeing all aspects of athletic budgets, reporting, forecasting, and strategic planning. The position serves as the primary point of contact for the budget and finance offices, as well as for interactions related to business and budget with the NCAA, PSAC, and other University officials.
Responsible for the overall day-to-day business operations of the Athletic Department, including but not limited to budget control, financial forecasting, strategic planning, and all financial reporting. Direct oversight of internal operations (ticketing, travel, equipment, facilities, etc.) and benchmarking of strategic initiatives. Ensures compliance with NCAA, PSAC, and University rules and regulations from a financial perspective in conjunction with the Associate Director of Compliance. Assists and advises the Director of Athletics in strategic planning and identifying efficiencies related to policies and processes. Must be able to support and promote the University's Mission.
Essential Functions & Responsibilities:
1. Prepares financial reports for the department, the University, the NCAA, and the PSAC as required, including the Higher Education Equity in Athletics report, the NCAA Financial Report, the NCAA Sports Sponsorship & Demographics Report, and the PSAC Financial Aid Summary. Works with the University's external auditing firm to prepare the NCAA audit report every three years, as well as the University's annual internal audit reports.
2. Monitors the athletic budgets and assists in the budgeting and allocation of expenses to ensure budgetary control and compliance with the University, NCAA, and the Athletics Department policies and procedures.
3. Assists coaches and the department with the development of zero-based budgets.
4. Oversees the processes of cash advances and reconciliation of all expenses against appropriate receipts.
5. Oversees travel arrangements for teams, including scheduling of transportation and meal allowances.
6. Oversees payment to officials and event staff workers.
7. Assist the Director of Athletics with developing and implementing the strategic plan and tracking success measures.
8. Assists with identifying and implementing efficient policies and procedures.
9. Assists with other aspects of NCAA compliance as required..
10. Oversees the sale and distribution of game and season tickets for basketball, football, and other athletic events.
11. Monitors all athletic scholarships awarded to student-athletes to ensure compliance in conjunction with the Financial Aid Office and the Associate Director of Athletics - Compliance.
12. Oversees financial-related reports related to summer camps with coaches and the Office of Finance and Administration.
13. Oversees the collection and analysis of retention data.
14. Collaborate with University Advancement & Assistant Director of Athletics for External Relations, related to external fundraising processes and endeavors.15. Performs other duties related as assigned within the scope, responsibility, and requirements of the job.
Required Qualifications:
Education: Master's degree.Experience: 2-4 yearsSkills: Effective written and verbal communication skills, organizational skills, budgeting and finance-related skills and strategies, strategic planning skills, knowledge and familiarity with NCAA compliance.University Mission: Must be able to support and promote the University's Mission.
Education: Master's degree in business, finance, or other related major.WORKING CONDITIONS:Work is performed in a busy office and Athletic/University setting.
LicensesandCertifications: A valid driver's license in good standing. Per Gannon's Institutional Policy Manual, there can be no suspensions on the Motor Vehicle Record for 5 years prior to being hired.
