GENERAL DESCRIPTION OF POSITION 
The Graduate Assistant for Business & Administration provides fiscal and office clerical support for the administration of purchasing, collections, auxiliary, grants, invoicing, and inventory.  Performs tasks of basic to moderate complexity, and these duties are predominantly attached to general business operations and administrative functions. 

 

COMPENSATION  

Includes 12 credit hours graduate tuition/fees annually, room/board and a $600.00 monthly stipend.  This is a 10-month assistantship. 
 
ESSENTIAL DUTIES AND RESPONSIBILITIES  

  1. Assist with reconciling P-card statements for multiple employees and notify the Assistant Director of Athletics – Business Operations of any inconsistencies or issues. 

  1. Verify invoices received and reconcile these expenditures; respond to inquiries regarding the status of requisitions, POs, or goods and services received. 

  1. Assist with preparing and processing deposits and accounts payable check requests. 

  1. Assist with determining and ordering necessary office equipment and supplies. 

  1. Assist with preparing and reviewing invoices, reconciling accounts, collections oversight, and recording transactions. 

  1. Provide gameday support, including but not limited to - ticket sales, concessions management, and other necessary gameday duties as assigned. 

  1. Assists with hiring, managing, and supervising student staff. 

  1. Assist with scheduling student staff for all contests. 

  1. Assists with recording minutes and action items related to departmental meetings. 

  1. Assist with various events as requested, nights and weekends availability is needed.  

  1. Oversee registration and reconciliation of accounts related to special events. 

  1. Assist the Assistant Director of Athletics – Business Operations with developing itineraries for potential candidates and onboarding new staff and student workers.  

  1. General office duties.  

  1. Respond to questions, calls, and emails professionally and promptly, within program and department policies. 

  1. Other related duties as assigned. 

QUALIFICATIONS 
To perform this job successfully, an individual must satisfactorily perform each essential duty. The requirements listed below represent the knowledge, skills, and/or abilities required. 
 
EDUCATION AND EXPERIENCE 
This position requires a Bachelor's Degree from an accredited college/university and admission to the FHSU Graduate School to pursue a Master’s Degree. 

 
PHYSICAL ACTIVITIES 
Sit at a desk and use your hands, wrists, and fingers to operate a computer regularly. Talk and listen to other individuals in meetings and over the phone. Stand and walk around the office and to other campus facilities to perform day-to-day duties. Lift and carry general office supplies and equipment.   
 
ENVIRONMENTAL CONDITIONS 
Work is done in a fast-paced office and competitive environment, both indoors and outdoors, where climate and conditions will vary. 
 
ADDITIONAL INFORMATION 
Basic office and computer skills, and the ability to learn new software programs. Demonstrated understanding of accounting principles.
