Position Purpose
This position is responsible for managing all operations of Dartmouth’s Athletic Equipment rooms (four total), including but not limited to: the supervision of all its staff (full-time, part-time, and student), administration and adherence to equipment operations budgets; Uniform lifecycle replacement, the ordering, receiving, inventory tracking, embellishment, and fitting of all apparel, footwear and sport-related equipment. The position will exercise discretion and independent judgement to make important decisions on behalf of DCARD Equipment Operations. Additional responsibilities include development, education, and implementation of policies and procedures related to equipment operations and brand management.

  • At least two years of experience working in an athletics equipment room (intercollegiate preferred).
  • AEMA certification.
  • Strong work ethic, organizational and communication skills.
  • Ability to deal with a variety of constituents in a timely and professional manner.
  • Ability to anticipate and meet deadlines, coordinate work of others, and remain accessible for inquiries.
  • Knowledge of athletic clothing, laundering, equipment, and compliance issues preferred.
  • Willingness to travel with teams and work nights and weekends, including under poor weather conditions if necessary.
  • Must be able to lift a minimum of 50 pounds over their head.
  • Must have a current Driver’s License.
Preferred Qualifications
  • Master’s degree.

Description
Administrative Operations
  • Direct all operations of equipment rooms for all DCARD, which directly affect their business operations. Maintain a comprehensive and functional knowledge of the equipment room operations. Update and improve current practices and procedures and recommend policy updates to accommodate future growth of operations and ensure efficiency and effectiveness of equipment room services.
  • In consultation with the coaches and staff and in accordance with DCARD policies, responsible for the oversight and ordering of all student-athlete, coaches and support staff supplies such as uniforms, apparel, footwear, and equipment (athletic equipment supplies).
  • Oversee the budget and purchase of all equipment orders, including Nike orders (and those to any other necessary vendors) for assigned Olympic sports. Base such orders on accurate size charts and up to date sizing information for student-athletes and staff. Work closely with coaches, fellow equipment managers, sport administrators, and Business Office personnel to assure DCARD of an efficient and accurate order with minimal errors; process payments in a timely manner.
  • Responsible for internal and external embellishment, including ordering, shipping and receiving to ensuring any requests meet institutional, conference and NCAA rules and regulations. Determine and coordinate equipment operations for special Departmental events (Staff Gear Packs, Ivy League Championship, NCAA etc.), as requested.
  • Work with DCARD staff to ensure internal branding efforts are maintained. Convey policies to vendors/embellishers and review samples/proofs for accuracy. Communicate any requested deviations from standards to appropriate DCARD staff.
  • Serve as the primary point of contact to DCARD’s contracted uniform, apparel, and footwear provider, in addition to establishing secondary points-of-contact from the full-time staff for outside providers.
  • Maintain accurate and up-to-date accounting of all DCARD issued items to student-athletes and athletic program staff consistent with DCARD directives, Compliance Office directives, and NCAA Rules. Ensure adherence to policies and procedures for the issuance and retrieval of athletic equipment supplies for assigned athletic programs. Includes tracking and maintaining an accurate inventory and taking a physical inventory on a periodic basis (or as necessary) through the designated equipment software system (i.e. HelmetTracker).
  • Consult with the Compliance Office to maintain accurate rosters of all varsity sports via the department-wide software (i.e. ARMS) to ensure that equipment and apparel are issued only to those who are eligible per NCAA and Ivy League rules.
  • Identify/Hire, Develop and oversee Assistant Equipment Managers, interns, and student managers.
  • Organize, lead and participate in various department meetings. Including but not limited to, equipment staff meetings, DCARD event management meetings, budget meetings, brand management meetings, etc. Oversee, in coordination with Assistant Equipment Managers, the order, purchase, inventory, and distribution of Varsity Letter Program awards. Done in accordance with DCARD process and NCAA Rules and Regulations.
  • Serve as traveling equipment manager as necessary.

Description
Equipment Operations and Management
  • Oversee and/or performs the day-to-day distribution and return of athletic equipment and apparel of all varsity sports, staff and other areas assigned.
  • Ensure student-athletes are properly fitted with the necessary equipment to prevent injury and comply with all applicable safety regulations.
  • Monitor and oversee the maintenance of a continuous inventory of all athletic equipment, to include coordinating an equipment inventory for each assigned sport at the end of its season. Provide guidance and consultation to team coaches regarding equipment needs and maintenance of equipment.
  • Provide independent oversight for the continuing inspection, care, maintenance and repair of athletic equipment supplies. Includes all appropriate alterations and manufacturer endorsed modifications.
  • Oversee efficient laundry operations; selection and use of appropriate laundry chemicals; training of assigned staff in proper care of laundered goods and operation of laundry equipment; monitor laundry chemical rotations, placing timely orders as necessary; promote adherence to OSHA policies and best practices; provide direction, budgeting, and execution for laundry equipment replacement.
  • Organize storage areas; provide regular review of surplus inventory; determine if athletic equipment supplies are expendable or retained for future use. Adhere to departmental policies/best practices regarding the disposition of expendable inventory.
  • Responsible for the preparation of assigned athletic programs’ athletic equipment supplies for home and away contests. Includes the preparation and packing for away contests; coordination of overland transportation to away contests when applicable; advance team travel as necessary and arrangement for laundry services for traveling teams.
  • Direct and provide oversight of daily practice set up. Oversee movement of necessary practice equipment between venues. Manage the transportation of athletic equipment to off-campus events, as necessary.
  • Supervise and oversee preparation of visiting team and officials’ locker rooms for assigned sports’ practices and games.
