The Associate Director of Athletics for Business Operations and Compliance serves as a senior member of the Athletics Administration, reporting to the Director of Athletics. This position oversees and directs the department’s efforts in business operations, internal and external contracts, and assures comprehensive compliance and reporting for the NCAA and Federal government. This position will execute much of the daily financial operations and controls of the department.
The Associate AD for Business Operations and Compliance is a highly visible position that carries significant influence, and this requires strong character and work ethic.
Essential Job Functions
Provide comprehensive NCAA Compliance function as well as all compliance and reporting for the NCAA and Federal government, such as EADA reports, NCAA financial aid reports, etc.;
Involved in all phases of the daily financial operation of the department, not limited to but including: pro card management (monthly reconciliation, tracking, and approvals), monthly budget reconciliation, maintaining a shared Excel budget sheet with athletic administration, purchase requisitions, and check requests;
Regular meeting with unit budget managers (head coaches, etc.) to proactively strategize best use of resources, flag challenges, and promote a culture of budget compliance;
Handle all financial reporting, to include annual completion of the EADA report as well as NCAA postseason expense/revenue reporting, and administration of any NCAA grants;
Serve as primary point of contact for all internal and external camps and clinics in regards to insurance / contract compliance; confirming with clients and executing appropriate contracts;
Create a system to accurately track and record our external visitors to athletic facilities;
Administrator of transportation contracts;
Explore opportunities to develop collective hotel savings for teams traveling on the road;
Work with all teams to develop a budget for all SAA and NCAA postseason competitions;
Work regular season and postseason events as appropriate and needed;
Involvement with hiring new coaches and staff, often being the administrative lead on searches;
Oversight of safety and risk management protocols;
Oversight of front office administrative operations;
Liaison with Human Resources for job searches, often as administrative lead on searches, as well as general compliance items;
Primary point of contact with Parkhurst (campus food services) for billing, preseason meals, meals during the academic year, and also summer camps;
Serve as liaison between the Office of Diversity, Equity and Inclusions, and Student-Life;
Serve as an administrator for travel to NCAA Tournaments;
Work with Director of Athletics regarding NCAA and SAA legislation and attend the NCAA and SAA meetings;
Administrator of any Name, Image, and Likeness (NIL) programs, to include potential partnerships;
Oversight of appropriate staff members with designated secondary roles in areas of purview;
Demonstrate an appreciation for and sensitivity to a diverse academic community, fostering an inclusive environment for students, faculty, and staff from a variety of social, economic, cultural, ideological, racial, and ethnic backgrounds;
Perform other duties as assigned in support of the goals and objectives of the Department of Athletics and Centre College.
Education and Experience
Bachelor’s degree required. Master’s degree preferred.
Previous administrative experience in higher education required, with preference given to five or more years’ experience.
Previous experience with finance / accounting or managing budgets.
Experience with Division III either as a student-athlete, coach, or administrator is preferred.
Knowledge and Skills
Expert communication skills, both written and verbal, are required.
Teamwork attitude and a desire to work in fast-paced, highly successful Division III athletic department a must.
Knowledge of, or proficient with: financial accounting and business management practices, information technology, strategic planning, time management, and analytical thinking or data analysis;
Knowledge of NCAA and SAA rules and regulations.
Additional qualifications include being self-motivated, visionary, positive, energetic, eager to teach, willingness to travel, and the ability to foster a team environment is needed.
