Position Overview
The Executive Assistant role provides high-level support for the VP/Director of Athletics. This position requires exceptional organizational and planning skills, the ability to make independent decisions and a professional demeanor.
Some of the tasks in this role will include: managing calendars, handling correspondence including phone calls and preparation of written communication, project decks, scheduling meetings and ensuring the efficient operations of the department.
Responsibilities
Ensures coordination and optimal scheduling of meetings/events for the Vice President/Director of Athletics including communicating directly and on behalf of the VP with internal and external constituents
Provide administrative support to Butler University Board of Trustees assigned committee for Vice President/Director of Athletics
Coordinates meetings and strategic engagement activities for Vice President/Director of Athletics
Independently researches, prioritizes, and follows up on multiple requests, issues and concerns addressed to the Office of the Vice President/Director of Athletics, including those of a sensitive and/or confidential nature. Determines appropriate course of action, referral, and/or response
Prepares correspondence, presentations, and other materials as directed
Oversees various staff and committee meetings, travel arrangements including supporting agendas, preparatory documents, meeting logistics, car, flight, and hotel bookings, post-trip follow-up, expense reports, etc.
Independently conducts research and/or collaborates with all departments to ensure properly briefing and preparation for all meetings and events
Required Qualifications
Bachelor's Degree
2+ years of Office Experience
Proficiency in Office 365, including Teams, and other communication tools
Ability to prioritize commitments, meetings and internal/external customers
Demonstrated ability to multitask - answering phone, meeting clients, preparing for upcoming meetings
Preferred Qualifications
Collegiate or high school athletics experience preferred.
