Executive Assistant - Athletics Administration

Position Overview

The Executive Assistant role provides high-level support for the VP/Director of Athletics. This position requires exceptional organizational and planning skills, the ability to make independent decisions and a professional demeanor.

Some of the tasks in this role will include: managing calendars, handling correspondence including phone calls and preparation of written communication, project decks, scheduling meetings and ensuring the efficient operations of the department.

Responsibilities

  • Ensures coordination and optimal scheduling of meetings/events for the Vice President/Director of Athletics including communicating directly and on behalf of the VP with internal and external constituents

  • Provide administrative support to Butler University Board of Trustees assigned committee for Vice President/Director of Athletics

  • Coordinates meetings and strategic engagement activities for Vice President/Director of Athletics

  • Independently researches, prioritizes, and follows up on multiple requests, issues and concerns addressed to the Office of the Vice President/Director of Athletics, including those of a sensitive and/or confidential nature. Determines appropriate course of action, referral, and/or response

  • Prepares correspondence, presentations, and other materials as directed

  • Oversees various staff and committee meetings, travel arrangements including supporting agendas, preparatory documents, meeting logistics, car, flight, and hotel bookings, post-trip follow-up, expense reports, etc.

  • Independently conducts research and/or collaborates with all departments to ensure properly briefing and preparation for all meetings and events

Required Qualifications 

  • Bachelor's Degree

  • 2+ years of Office Experience

  • Proficiency in Office 365, including Teams, and other communication tools

  • Ability to prioritize commitments, meetings and internal/external customers

  • Demonstrated ability to multitask - answering phone, meeting clients, preparing for upcoming meetings

Preferred Qualifications 

  • Collegiate or high school athletics experience preferred.
