What to Expect
The Staff Accountant is critical role recording accounting transactions for the Army West Point Athletic Association Inc. (“AWPAA”) Business Office. Working closely with the Staff Accountant (Accounts Payable), Associate Athletic Director and Chief Financial Officer, the position will primarily focus on account receivables, cash receipts, daily bank activity reconciliations, purchase orders, cash & travel advances, United States Military Academy (“USMA”) and related party transactions. This position requires a working knowledge of U.S. generally accepted accounting principles, attention to detail, sensitivity to tight deadlines and the ability to multi-task.
What You'll Do
20% Accounts Receivable Management
Invoice and document all customer billings into Business Central (cloud-based accounting system).
Manage a variety of customers (e.g., USMA, Army Athletic Association) with multiple department and funding codes.
Collect necessary forms for all new customers.
Create and update customer profiles in Business Central (e.g., ACH details, change of address notices, etc.).
20% Deferred Revenue Subledger Management
Work with the Ticket Office to record and support advanced ticket sales.
Recognize and account for summer camp and clinic registration fees and other deferred revenue transactions.
Properly release deferred revenue when appropriate.
Maintain the subledger account for reconciliation.
15% Cash Receipts Processing
Process and document all inbound customer payments.
Handle payments via cash, check, ACH, wire transfers, PayPal, and Venmo.
Process employee advance reconciliations when applicable.
25% Month-End and Annual Financial Close
Ensure timely and accurate posting of financial transactions before reports are generated.
Complete monthly journal entries (credit card uploads, payroll uploads, etc.).
Prepare subledgers and perform bank reconciliations.
Carry out checklist tasks to close the month methodically.
20% Other Duties as Assigned
Assist with annual financial statements and single audit (primarily September–December).
Commit multiple days during audit months to support audit needs.
Contribute to the completion of the NCAA Financial Report.
Support miscellaneous tasks assigned throughout the year.
