Duties and Job Responsibilities
Facility Scheduling and Management:
Coordinate the booking and scheduling of all athletic facilities across various sports teams, including practice times, game days, and outside rentals.
Monitor facility usage to optimize space and time allocation.
Maintain a comprehensive calendar of facility reservations and communicate schedules to coaches and staff.
External Rentals, Vendor Management & Tailgating Oversight:
Liaison to Auxiliary Services for external rentals, coordinating facility reservations, contracts, and invoicing.
Oversee vendor management for concessions.
Manage tailgating logistics for ASU football season, including:
Vendor placement and management for tailgating areas.
Coordination with campus security and facilities for setup and regulations.
Ensuring tailgating policies align with university guidelines and fan experience goals.
Seek ways to enhance revenue generation through facility rentals and vendor partnerships.
Maintenance and Repairs:
Oversee routine maintenance and preventative upkeep of athletic facilities, including equipment, playing surfaces, lighting, and HVAC systems.
Identify and report facility issues to appropriate maintenance personnel, ensuring timely repairs.
Coordinate with contractors for larger maintenance projects and renovations.
Event Operations:
Plan and execute logistics for all athletic events, including set-up, tear-down, equipment staging, and staffing requirements.
Coordinate with event management teams to ensure smooth game-day operations.
Manage facility access control and security during events.
Ensure game day equipment (scoreboards, PA systems, tables, chairs, etc.) is set up properly and troubleshoot as necessary.
Inventory & Concessions Management:
Assist with the ordering and distribution of concession stand supplies and fueling station inventory.
Track inventory levels to ensure timely replenishment and cost control.
Coordinate with vendors and procurement for concessions and equipment.
Budget Management:
Monitor and manage the budget allocated for facility operations, including maintenance costs, equipment purchases, and facility upgrades.
Track expenses and identify cost-saving measures.
Compliance and Safety:
Ensure adherence to all safety regulations and guidelines for athletic facilities, including emergency procedures.
Conduct regular facility inspections to identify potential hazards and address safety concerns.
Maintain necessary documentation regarding facility usage, maintenance records, and safety compliance.
Staff Supervision:
Hire, manage and supervise a team of student workers responsible for daily facility operations, including cleaning, equipment setup, and event support.
Provide training and guidance to ensure staff understands facility procedures and safety protocols.
Perform other duties as assigned.
Required Qualifications
Bachelor's degree
1-2 years of relevant work experience or an equivalent combination of education
Ability to work nights, weekends, and holidays as required for events.
Preferred Qualifications
A degree in Sports Management, Business Administration, Facility Management, or a related field.
Coaching, intramurals and/or other relevant experience
3-5 years of relevant work experience or an equivalent combination of education
CPR/First Aid Certification.
Knowledge / Skills / Abilities
Knowledge of sporting event set-up and tear-down.
Knowledge of custodial equipment and procedures.
Good problem-solving skills.
Proficient in Microsoft Office programs and other general office equipment.
Organized thinker with exceptional attention to detail.
Excellent communication skills, both verbally and in writing.
Ability to effectively organize and prioritize work as well as concentrate on multiple tasks simultaneously.
